Virtual Event Terms

Understanding the terms and timelines when planning, setting up, and running a Managed Virtual Event.

  • Maximum of attendees per Virtual Event are subject to your Licence limit
  • Registration Page Creation - 5 business days from receiving assets
  •  Environment Creation - 2 weeks from receiving assets
  • First Booth - 5 business days from receiving assets
  • Submitting your own video content - we must receive the MP4 files at least 5 business days before the event
  • Concurrent sessions in your event are subject to a concurrency fee (contact your Account Manager for more information on this)
  • You must leave at least 30 minutes between each live session to allow for the reallocation of resources and support
  • For concurrent sessions or sessions with a shorter than a 30-minute break between the previous session, there will be a 50% uplift fee for the overlapping session(s)
  • For events falling on a weekend, there will be a 50% uplift fee for all sessions to cover our additional support costs
  • Weekend events are subject to availability and a fee. Payment must be received prior to the event launch
  • Maximum of two chat hosts for on-demand sessions or booths that require our chat or Q&A functionality
  • Template builds include one Chat Room or Networking Lounge as standard
  • Additional Live sessions will be as per your agreement, per session. The number of additional live sessions added to a VE after point of signing is subject to availability and at the discretion of your Account Manager. The deadline for adding these to your events is 14 working days prior to the live event date
  • Additional On-demand sessions or booths will be as per your agreement, per session.  The number of additional On-demand sessions added to a VE after point of signing is subject to availability and at the discretion of your Account Manager. The deadline for adding these to your events is 5 working days prior to the live event date
  • Any third-party video conferencing solution used will not be managed or moderated by WorkCast. WorkCast cannot accept any responsibility or liability for the running of a video conferencing solution or call
  • Hosting fee extension for up to 12 months will be as per your agreement if you purchased your Virtual Event as a one-off 
  • A rehosting fee for your Virtual Event template within a 12-month Licence would be as per your Agreement
  • A completely new or refresh of an existing Virtual Event template within a 12-month Licence would be as per your agreement
