Create a pre-record event

A pre-record event is created the same as any other event within your WorkCast account. The only difference is that the registration /auditorium URL's are never shared with attendees.

Within your WorkCast account navigate to the Create Events tab. Live and Simulive will be selected. Scroll down to choose the event template you’d like to use. 

In the pop up enter the event information:

   - Event title: Pre-record - date of event
   - Event date: The date the recording will take place 
   - Start time: The time the recording will begin
   - Time zone: Change this if needed

Click NEXT STEP to continue.

Select Interactive as the presentation type. This will allow for Cloud slides, Screen share, webcam and audio. Click here to understand more on Interactive studio 

Once selected click NEXT STEP.

 

Check over the Event Summary.  Are the details correct?

If not, click Back to presentation types to go back. 

 

If they are, click CREATE EVENT.

 

Your pre-record event is now created and you can now add your presenters and send over their login details. Please note, as this event is created to record only, no content is needed as the URL's will not be shared.

Running your pre-record event

1.  Access the pre-record event studio

  • On the scheduled date of your pre-record, log into the pre-record event studio using your Host/Producer account. (Necessary to see the Broadcast option needed to begin the recording)
  • Presenters can join the studio using the Magic Link they received via email.
  • Verify that all presenters are connected in the My Connections pod and conduct a brief audio/video check to confirm presenters can be seen and heard. 

2. Initiating the recording

  • Once all presenters are ready, click Broadcast as you would for a live event. The session will begin recording automatically once the broadcast starts.

  • We recommend you only stop the broadcast once all content is recorded so there is one media file which can be accessed and downloaded for editing in the Media tab of your account. 

Monitoring the recording (optional)

  • To view the recording in real time, use the Registration URL to register for the pre-recorded event and access the auditorium. This allows for real-time observation to ensure quality and accuracy

Downloading and sharing your raw MP4 recording

Once the recording is complete and you've stopped the broadcast, the recorded MP4 file will automatically appear in the Media Tab of your account within approximately 1 hour.

The file will appear to the top of the list as this is ordered most recent first.

The page will reload to the below.

Here you can click the chain link icon to copy the URL and share this with others or you can click the hyperlinked url to open the media in a new tab of your browser and download the raw MP4 file to edit using video editing software. 

Please note: Each browser will require a different action to download. e.g. Chrome - select the three dots to the bottom right of the media window and select download. 


Upload you edited media to use on your live event

Once your pre-recorded content is fully edited and ready for use in your live event, you can re-upload it to your WorkCast account. This allows you to integrate the polished content seamlessly into your upcoming broadcast.
